Quick Ways to Help Your Law Firm Run More Smoothly

Beverly Michaelis, a practice management advisor in Oregon, wrote a guest blog post on PracticeSmarter about ways to help your law office run more smoothly. She offered some ideas, including:

  1. Office HassleApply the “4 Ds” to email – Do, Defer, Delegate or Delete
    This will help to keep your inbox under control. Once you’ve read or responded to an email, link it to the client’s matter record in your practice management system.
  2. Practice “OHIO” – Only Handle It Once
    This will keep your paperwork under control. Scan all incoming documents and link them to client files and matters in your practice management system.
  3. TREAT clients well
    Be timely in your work, respond to phone calls and emails promptly, be empathetic, assure (and reassure) clients and deliver tangibles by producing error-free work.

Improve Email Security

emailLaw firms have a responsibility to protect the confidentiality of all clients, so keeping email secure is highly important. An article in this month’s edition of Law Practice Today noted that 54% of all law firms surveyed reported that a virus or other spyware had infected their computers at one time.

The article recommended some ways to improve email security:  

  1. Run spyware, malware and anti-virus programs regularly
  2. Look out for phishing (email scams targeting lawyers)
  3. Implement a spam filter to get rid of junk mail before it comes into your inbox
